Job Description

Vibe Recruit's client based in Cardiff, an expanding building merchants, is looking to appoint an Administrative Assistant to work within the office providing clerical and administrative support to the Manager and team members.

DUTIES:

  • Answer telephone and relay calls and messages;
  • Greet people, enquire the nature of their business and direct them as appropriate;
  • Use a variety of software packages to produce correspondence, documents, spreadsheets and databases;
  • Maintain current office systems;
  • Schedule and confirm appointments and meetings of Managers;
  • Distribute company material and help in coordination of flow of information within the company;
  • Prepare, edit and proof read correspondence and other related materials;
  • Determine and establish office administrative procedures following approval by the Manager;
  • Liaise with other members of staff in other departments and external contacts;
  • Organise and store paperwork, documents and computer based information;
  • Perform other duties related to the position as directed by the Manager

WORKING CONDITIONS:

  • Standard working hours are: Monday - Friday 7.30am - 5pm
  • Every other Saturday 7:30am - 12pm
  • Entitled to 60 minutes for lunch
  • Frequently exposed to noise and a regular flow of people
  • Frequently assigned to changing priorities
  • Maybe required to work overtime

REQUIREMENTS OF POSITION:

  • At least two years of administrative experience within the industry
  • Proficient written, spoken and listening communication skills
  • Computer literate with excellent organisational skills
  • Punctual, meticulous and reliable
  • Courteous manners with the public
